  • Diary and inbox management, including fielding telephone calls, coordination of meetings and events, drafting correspondence and tracking emails.
  • Preparation for meetings, including agenda items, action items, talking points and secretariat support.
  • Coordination and tracking of workflow in and out of the FAS office, including management of tracking systems, reporting and more complex administration tasks.
  • Working with division staff to ensure that all briefings and correspondence are managed appropriately, ensuring all deadlines are met.
  • Liaising with a variety of senior internal and external stakeholders, such as Secretary/Deputy Secretary Offices, Ministers’ Offices.
  • Management of credit card acquittals and supporting procurement activities, including tracking and payment of invoices.
  • Supporting and mentoring more junior Executive Assistants, including sharing information on Group and Division priorities and working together to streamline processes to improve productivity and outcomes.
  • Managing record keeping in accordance with departmental processes:
  • coordinating and tracking tasks, correspondence and Parliamentary briefings
  • managing the Division leave calendar, org chart, phone list, etc.
