Diary and inbox management, including fielding telephone calls, coordination of meetings and events, drafting correspondence and tracking emails. Preparation for meetings, including agenda items, action items, talking points and secretariat support. Coordination and tracking of workflow in and out of the FAS office, including management of tracking systems, reporting and more complex administration tasks. Working with division staff to ensure that all briefings and correspondence are managed appropriately, ensuring all deadlines are met. Liaising with a variety of senior internal and external stakeholders, such as Secretary/Deputy Secretary Offices, Ministers’ Offices. Management of credit card acquittals and supporting procurement activities, including tracking and payment of invoices. Supporting and mentoring more junior Executive Assistants, including sharing information on Group and Division priorities and working together to streamline processes to improve productivity and outcomes. Managing record keeping in accordance with departmental processes: coordinating and tracking tasks, correspondence and Parliamentary briefings managing the Division leave calendar, org chart, phone list, etc. Qualifications and Education undefined
