Role

As the Academic Administration Coordinator, you will coordinate and manage a broad range of processes to ensure effective academic planning and administration.

Working in collaboration with various University of Adelaide College teams and University stakeholders, you will contribute to business improvement initiatives in support of innovative and responsive academic administration.

Responsibilities

• Coordinate and distribute ‘Important Dates’ from approved academic calendar(s)

• Coordinate with relevant stakeholders for the arrangement and delivery of academic professional development, including annual ‘PD Week’ and ongoing opportunities

• Prepare and distribute, following input by senior academic leaders, the academic staff newsletter

• Author, or alternatively manage the outsourcing of, the minutes for documented meetings such as those held by Teaching and Learning Committees, Assessment Review Committee(s), academic staff meetings etc

• Collate, as arranged by the College managers, the allocation of lecturers every teaching period and the accurate calculation of their workloads

• Assist in populating academic reports with quantitative data and associated visualisation methods to enable analysis for academic management purposes

• Prepare reports, slide decks and other related collateral as required for stakeholders that can include the Joint Academic Board or College management team

• Provide assistance, administrative or otherwise, in regard to projects that may arise from time to time, such as the development of new courses, course revisions and the upgrading of systems

Requirements

• 1-2 years’ experience in an administration role with a good understanding of the Australian education system (essential)

• Ability to work flexible hours, including overtime and weekends, if required

• Ability to work onsite (essential)

• Proficiency in Microsoft Office, especially Excel

• Ability to develop strong relationships with stakeholders.

• Excellent oral and written communication skills

• Excellent organisational, planning, and interpersonal skills

• Ability to plan, control, coordinate and manage activities with minimal supervision

• Ability to quickly learn new systems.

• Higher education qualification (desirable)
