We currently have an exciting opportunity to join us as an Executive Assistant within our Office of the CEO Department (OCEO).  You will be supporting our Heads of Strategy, Communications and Government Relations which will give you exposure to all the key business activities and programs.  If that’s not enough to entice you, use this as a stepping stone to further your career in the areas of Communications, Marketing or Strategy.  This role will be based out of our Melbourne CBD office.

Your new role:

As the OCEO Executive Assistant, you will be responsible for supporting the Heads of Strategy, Communications and Government Relations and members of their teams with day to day executive support. You will report into the Head of Strategy who is responsible for . for leading and defining the business strategy for BAE Systems Australia whilst aligning this with the overall BAE Systems strategy. In more specific terms you will: 

  • Diary Management for the Heads of Strategy, Communications and Government Relations
  • Provide confidential administrative support to them and their teams
  • Assist internal & external stakeholders with administrative queries
  • Be responsible for day-to-day organisation and prioritisation under minimal supervision
  • Schedule and book any travel including Per Diems
  • Schedule and co-ordinate both internal and externa meetings and conferences including catering, presentation materials and logistics
  • Complete monthly credit card acquittals for the Heads of Strategy, Communications and Government Relations in line with business requirements
  • Provide support for events management

About you

As an ideal applicant for this opportunity, you’ll have: 

  • Excellent communication skills required, both written and verbal
  • Team orientated with the ability to work with a variety of people
  • Motivated self-starter with excellent time management skills
  • High attention to detail
  • Organisational and problem-solving skills
  • An ability to liaise effectively with internal and external stakeholders
  • Experience working in Defence industry (desirable)
  • Computer literacy with knowledge of MS Suite along with SharePoint & Oracle (desirable)
  • Current Baseline Security Clearance – preferable
  • Previous experience in a similar role
