Our opportunity

We have an exciting opportunity for a Team Assistant to join our Brisbane team. You will provide professional and comprehensive administrative support for the team.

Your responsibilities are but not limited to:

  • Provide support in administration and communication.
  • Document management and filing system management.
  • Diary management and organise team meetings.
  • Take and prepare minutes as required.
  • Assist in maintaining appropriate systems, procedures and controls.
  • Organise travel arrangements and itineraries.
  • Arrange payment of invoices, typing, and monthly expenses.
  • Assist with accounts payable process and job set up and cost planning / tracking / forecasting
  • Assist with the preparation and distribution of reports and presentations.
  • Assist with the preparation and execution of contractor and consultant contracts.
  • Assist with development administration including reports, applications, market research, awards, sustainability and customer processes.
  • Manage the office requirements of the team, including premises, ordering IT equipment, stationery, accounts payable etc.
  • Assist in preparing team activities and events.
  • Act as a liaison for the team and external stakeholders such as suppliers and vendors with approachable, professional and helpful attitude.
  • Ability to recognise and resolve stakeholder issues.
  • Ability to liaise at various levels both internally and externally.

Your point of difference

To be successful you will have experience in a secretarial and administrative position using professional judgement, managing multiple tasks and competing priorities efficiently

Exceptional time management and organisational skills, moderate / high level of Microsoft Office applications skills, experience with SharePoint and familiarity with iTwoCX would be beneficial (not critical)

Finally, you will have strong written and verbal communication skills, exceptional attention to detail and high levels of discretion, diplomacy and the ability to maintain confidentiality
