The opportunity

We have a unique opportunity for an exceptional  Executive Assistant  to join our Rail Delivery branch supporting the Head of Rail Delivery.

The primary purpose of this role is to provide high level, confidential, executive support to senior executive management. This includes diary and meeting management and liaison with senior executive management within the organisation. The successful candidate will need to support a busy senior leader and will also get exposure to other business/administrative support responsibilities.

The role involves lots of stakeholder engagement particularly working closely with internal and external stakeholders at all levels. You will also work in collaboration with other executive or administration functional units to ensure a coordinated approach to achieving administrative objectives and high standard of professional customer service.

Key accountabilities of the role are: 

  • Contribute to the effectiveness of senior leaders by identifying, prioritising and determining urgency of the critical issues for their attention and support
  • Meeting coordination and agenda actions/minutes and follow up
  • Work closely with the Executive Management Office and assist with internal communications, event planning and general business administration
  • About you

    To be successful in this role, you will be someone who thrives in a fast paced, highly complex environment. 

    You will have experience working for a senior executive in a large or complex organisation, demonstrated experience in diary and email management, able to identify and escalate issues in a timely manner and ensure attention to detail and confidentially. You will have experience with Microsoft Office Suite with particular focus on MS Teams. You will also have a proven track record of effectively liaising with senior stakeholders and can build and maintain positive relationships that reflect Transport’s five ways of leading behaviours.

    As the ideal candidate you will have the ability to working under pressure and can present a calm demeanour and deliver on the tight deadlines. You will be professional, resilient, reliable and flexible, with superior organisational skills and the ability to continually re-prioritise as circumstances change.

    Ideally you will have a sound understanding of the workings of Government. Attention to detail, initiative and a can-do approach are essential for this position. Furthermore, you will need to have highly proficient written and verbal communication skills and a passion for continual improvement and problem solving.

    Salary and benefits

    Grade 5 ($87, – $95, per annum plus overtime/penalties, superannuation and leave loading.
