About You

The Venue and Event Planner is an important customer service and event planning role within the Venues Team, with key responsibility for the lifecycle of an event through the venue booking and planning process, from initial enquiry to follow up at the conclusion of an event and will be working with both internal and external clients at RMIT.

The Venue and Event Planner is responsible for managing venue hire for primarily the premium venues, engaging with the organiser to discuss event requirements (catering, AV, etc), completing the hire agreement and managing the financial process of quoting and invoicing. The incumbent will require sound working knowledge of RMIT University venues and procedures with the expectation of providing accurate, efficient and professional coordination between clients and staff.

The position will also be responsible for maintaining and updating the venues website ensuring accurate information is available and the management of the booking system, including engagement with the system vendor.

To be successful in this position, you’ll have as a minimum:

  • Demonstrated high level customer service experience with the ability to successfully respond to client needs and confidentiality interact with clients from a diverse range of backgrounds.
  • Demonstrated practice at supervising people and developing their work performance.
  • Demonstrated analytical, problem solving, negotiation and conflict management skills.
  • Exhibit high level written and verbal communication skills, and experience in preparing information for clients, ie brochure, website content.
  • Strong attention to detail with ability to address various functions and systems simultaneously and work well under pressure.
  • Ability to take a leading role in identifying ways to streamline operations through developing and implementing procedures to improve processes.
  • Demonstrated ability to handle administrative tasks accurately and promptly in a customer service environment.
  • Demonstrate excellent IT skills including proficiency with Microsoft Office. Experience using a venue booking system (i.e. Priava) would be an advantage.
  • Ability to contribute to and work as part of a team.

About the Portfolio

The Operations Portfolio enables an integrated, enterprise-wide delivery for best practice student and staff experiences. The Portfolio incorporates the following business units: Communications, Enterprise Projects & Business Performance, Global Marketing & Student Recruitment, Human Resources, Information and Technology Services (ITS), Office of the Chief Operating Officer, Procurement and Property Services Group (PSG).

The Portfolio houses significant drivers and delivery components across the staff and student journeys and enables the overall experience for both groups. The Portfolio is integral in bringing the RMIT strategy to life, across the globe. Each of these functions supports the global operations of the University both directly as well as through its controlled entities.

Property Services Group has approximately 120 staff and has the responsibility to operate, maintain and enhance the buildings owned and leased by RMIT University, oversee construction projects and ensure the provision of physical facilities services.

The Group has an operating budget in excess of $70M and prospective capital projects of over $100M per annum for the next few years in Melbourne and Vietnam. RMIT’s built environment involves approximately 110 buildings in Melbourne spread across all of RMIT’s campuses and sites.
