Job Description

This is a fantastic opportunity to join a softwood sawmiller company as an Executive Assistant & Communications Coordinator. 
 
This is a Fixed-term Contract for up to 18 months on a full time basis (40 hours per week). This position is based in Davenport with regular site visits to the sawmill in Dardanup.  
 
Purpose of the position:
Reporting to the Managing Director, key responsibilities of this role include providing assistance to the company’s Board, Managing Director, CFO, GM of Staxa, GM of Operations and the Executive team. 
 
Your responsibilities will include:

  • Ensuring you support the team to achieve its Safety objectives
  • General administrative duties, including document control, record keeping, preparation of presentations, organising site visits
  • Working as a team with other support functions including another executive assistant to ensure seamless sharing and handover of tasks and responsibilities
  • Preparation of correspondence on behalf of the company
  • Proactively manage the Executive Team schedule including meetings, events and issuing of Board papers
  • Ensure the Executive team member representing the company is fully briefed on, or prepared for, any engagement they are involved in, including presentation preparation
  • Keep and maintain an accurate record of papers and electronic correspondence
  • Planning and preparation of events, including liaising with venues, catering and logistics
  • Managing and overseeing project as required by the company
  • Finance support
  • Management of company credit card including payment of invoices, system entry and monthly reconciliation of account
  • Implementing the Company’s communication plan including monitoring and updating social media accounts
  • Drafting and publishing the monthly internal newsletter

We are seeking someone who has:

  • Substantial experience in a similar role
  • High proficiency in Microsoft Office suite (Word, Excel, Power Point etc)
  • Able to manage confidential information
  • Excellent attention to detail
  • Excellent organisation skills
  • Excellent communication skills, both verbal and written
  • Proven ability to work under pressure and to tight deadlines
  • Flexible mature approach with ability to work unsupervised.
