About the Business Unit 

Facilities Services Branch is in the Corporate Services division of DJAG and is a multi-disciplinary team servicing the department’s facilities and fleet needs. The Branch comprises approximately 27 staff, who operate across several teams including Infrastructure Programs, Fleet Coordination, Property Leasing, Fit-Outs and Fire Safety Advice. The Branch is supported by an administrative, policy and finance team. Facilities Services: • delivers office fit-out projects in the department’s owned and leased facilities; • plans and coordinates major and minor capital works including significant modifications to court buildings and replacement of major building plant and equipment; • coordinates maintenance activities in owned and leased facilities and property; • manages departmental accommodation leases; • provides fire safety advice across the department; and • coordinates fleet operations, including monitoring and reporting. Key Responsibilities As the Administrative Support Officer, you will:  • Provide administrative support to deliver significant infrastructure construction projects and initiatives for the department across its state-wide built infrastructure portfolio. • Assist the Strategic Planning Manager in matters pertaining to corporate reporting including project reports, performance monitoring reports, estimates committee and annual reporting requirements as well as other ad-hoc reports, and liaise with the relevant partners (consultants and stakeholders) to ensure efficient information flow. Prepare other high-level correspondence as required. • Assist the Strategic Planning Manager to coordinate procurement activities and contract management obligations in accordance with business needs and Queensland Government requirements. • Build positive relationships with delivery partners and key business stakeholders. • Partner with service providers and key internal and external stakeholders to document operational requirements and identify risks. • Implement and maintain administrative systems including the maintenance of accurate and consistent information documentation and retrieval systems • Provide administrative support to the team as required, including document coordination, management of electronic files (eDocs), and meeting coordination and secretariate services. • Be proficient at utilising the Microsoft Office suite, particularly Word, Excel and Powerpoint, to develop and coordinate project reporting spreadsheets, reports and visual presentations. • Other duties as required to fulfil the objectives of the Branch and Department
