Administration Assistant (Fleet Workshop) – NSW Government

  • NSW Government Temporary Contract
  • ASAP start, up to 12 months with view for permanent opportunity
  • Fairfield location
  • Full time, Monday to Friday
  • 7:00am – 3:00pm
  • $38.50ph + super
  • This established Government organisation within the emergency services sector is seeking an Administration professional for a 12 month contract with the view for a permanent opportunity.

    The role offers a friendly, supportive environment with the potential for ongoing and work within the NSW Government.

    The Admin Support Workshop supports the state-wide NSW Ambulance workshops within the NSW Ambulance Fleet, Equipment and Uniform department. This will include high-level administrative support in the vehicle and equipment maintenance, vehicle commissioning and decommissioning and vehicle modification and enhancement programs of operational and non-operational NSW Ambulance vehicles.

    You will be supporting the NSW Ambulance Workshops with the below:

  • Accurate documentation and maintaining auditable data for all active and non-active NSW Ambulance vehicles, such as vehicle and equipment repairs, servicing, warranty and outsourcing job cards and quality documents
  • Organising, booking/confirming and assessment of lead times for third parties, such as vehicle transports, panel shops, dealerships, vehicle body builder and other service providers
  • Develop and maintenance of servicing, repair and warranty schedules, including confirmation of the vehicle and equipment maintenance bookings with the NSW Ambulance stations
  • Supporting the workshop leading hands and other unit stakeholders on the day-to-day administrative tasks; attends committees, meetings and other forums and provides appropriate administrative support services, such as meeting minutes
  • Maintain the existing database in the fleet management system and other utilised platforms, including data entry for vehicle status to allow transparency for the fleet availability to internal and external NSW Ambulance stakeholders
  • Support the NSW Ambulance workshop manager and leading hands in creating orders, invoicing and good receipting process; schedule and documentation of workshop equipment maintenance; ID-tag and driver license compliance
  • Skills/experience:

  • Previous experience in an administration role – Fleet Management is highly beneficial
  • Computer savvy – Able to pick up new systems quickly
  • Proficient understanding in the use of Microsoft Office
  • Outstanding written and verbal communication skills
  • Attention to detail
  • Flexibility and adaptability
  • Enthusiastic with an ability to multitask and work in a busy environment
  • Previous Government experience is beneficial but not essential
