Job Description

We are seeking an APS3 Administration Support Officer for a Federal Government department for a 6 month contract with a possible extension for the right candidate.

The Administrative Support Officer (ASO) is responsible for providing a range of general administrative support services to the legal practice, including case administration, case preparation and witness coordination.
Working under supervision, they will liaise with staff and utilise a range of administrative, legal and digital litigation tools and systems to support the analysis and management of cases, draft routine workplace documents, emails and other correspondence.

The ASO will, under limited supervision, manage scheduling, prioritisation and allocation of their assigned tasks and assist with the achievement of broader workgroup objectives. 

Primary responsibilities of this position include: 

  •  Case Administration activities – creation and administration of case files, photocopying, filing, data entry, meeting administration, records management (including archiving). 
  •  Witness Coordination – drafting summons/subpoenas, liaison (e.g. providing updates), arranging travel and other related tasks. 
  •  Case Preparation – preparing materials, lodging/filing documentation, conducting basic research activities, video conferencing and arranging interpreters and translators. 
  •  Case Liaison – liaising with Federal Prosecutors, external agencies, courts and counsel. 
  •  Building rapport and maintaining internal and external relationships. 
  •  Responding to enquiries and providing accurate advice in a timely manner. 
  •  Adapting communication (both verbal and written) to suit the identified audience. 
  •  Identifying and escalating issues to senior staff members 
  •  Undertaking appropriate learning and development activities as required

  • This right candidate will be required to hold a Baseline security clearance.
