How you will make an impact
The Executive Assistant is responsible for the provision of high level professional and confidential executive and administrative support to two Cabrini Health executives – Group Director People & Culture and Executive Director Malvern.

Reporting to the Chief Executive Office and Board Manager, the key to success in this role is the ability to provide proactive, efficient, and reliable support to two busy executives in a fast-paced environment.

The position is permanent full-time, and predominantly based onsite at our flagship hospital, Cabrini Malvern. Travel to other Cabrini sites may arise from time to time.

Key responsibilities:

  • Providing first point of contact for the Group Director People & Culture and the Executive Director Malvern.
  • Maintaining electronic calendars, scheduling meetings and appointments.
  • Preparing and coordination of briefing papers, reports, agendas, minutes, documents, and other professional business materials.
  • Attending and minuting committee meetings as required.
  • Organising functions and assisting with event coordination.
  • Arranging travel and accommodation for business travel requirements.
  • Preparing and responding to correspondence and maintaining a current, coordinated electronic filing system.

About you
Cabrini is seeking a professional, experienced Executive Assistant, with experience supporting multiple executive level roles. The successful candidate will also have:

  • An efficient, flexible, accountable, and a strong work ethic.
  • A strong understanding of the committee process particularly in relation to coordination and governance.
  • Professional communication and business writing skills, in addition to experience managing electronic calendars for multiple executives, including internal and external meeting preparation.
  • Skilled in general administration, minute taking and event/function coordination, ensuring discretion and strict attention to detail.
  • Autonomous problem-solving skills and initiative.
  • Healthcare sector experience is desirable but not essential.
  • Strong technology proficiency, particularly digital and AV communication systems and the Microsoft Office suite (Word, Outlook, PowerPoint, Teams, SharePoint). Workday and Kronos workforce management software experience is advantageous.
