APS5 & APS6 Grant Administration Officers

The Grants Administration Officers will be responsible for providing high level administrative support services to the team under limited direction, including management and coordination of the email inbox. Manage and prepare correspondence, responding to enquiries from applicants including any receipt of new applications, request for information, and data entry, and the maintenance of databases and administrative systems. You be required to maintain a sound level of knowledge of relevant legislation and develop effective working relationships.

  • Contract Start Date: 27/03/2023 | 3 Month Contract with a strong chance of extension
  • Potential WFH Options | Up to 2 days per week after initial training

The Data and Analysis Section is seeking a high performing, experienced Administration Officer’s to be a part of the team. This team is a well-skilled and diverse team dedicated to supporting the implementation and management of the grants to ensure the continued high-quality care of aged care residents.

Key duties:

  • Assist with the management of grant and contract management activities, including the management of Grant documentation, such as:
    • completing compliance checks
    • determining applicant eligibility according to the Grant Opportunity Guidelines.
    • Data entry and record keeping as required
  • Provide administrative support to the team and assisting in preparation of high-quality correspondence, including briefings, minutes and reports
  • Coordination, distribution, and response to incoming correspondence
  • Analyse, interpret and evaluation information and data from a broad range of sources by utilising Department’s systems including but not limited to:
    • Sharepoint
    • TRIM
    • Government Grants Processing System (GovGPS)
    • Qlik Sense
    • National Approved Provider System (NAPS)
  • Stakeholder management, developing and maintaining effective working relationships
  • Support the section to deliver successful outcomes on urgent work as the need arises.

  • Strong ability to perform procedural and business administration support work to achieve results and contribute towards ongoing improvement of work practices
  • Ability to work in a team-based environment, as well as under limited direction and the ability to be adaptable and responsive
  • Well-developed communication skills and an ability to develop and maintain relationships with internal and external stakeholders in a complex environment
  • Ability to contribute to timely and high-quality outcomes that influence policy makers and effectively implement the Government’s decisions
  • Ability to work flexibly across the Section to support urgent work as directed, commensurate to the classification level of the position
  • Skilled in using a range of information and communication technology (ICT) systems (including the Microsoft office suite) and be able to learn new ICT systems and processes as required
  • Accountable with a good understanding of and compliance to relevant legislative frameworks, such as the Public Governance, Performance and Accountability (PGPA) Act 2013.

Eligibility:

  • Applicants must hold or be able to obtain and maintain a Baseline security clearance.
  • APS5 & APS6 eligibility is subject to prior APS experience.
