The Royal Australian and New Zealand College of Psychiatrists (RANZCP), the principal organisation representing the medical speciality of psychiatry in Australia and New Zealand, is seeking an Administrative Officer to join the Practice, Policy and Research department. 

 

The Administrative Officer will undertake the administrative duties associated with key committees, steering groups, and working groups to facilitate their effective operations and delivery of work plans.The position will also provide administrative support to the Policy, Practice and Research Department.

 

This role has a specific focus to:

  • Provide administrative support to constituent committees of the Practice, Policy and Partnerships Committee (Committee for Evidence Based Practice, Committee for Professional Practice, Committee for Research), as well as steering groups and working groups, to meet the needs and expectations of members.
  • Schedule and coordinate meetings and events, with guidance from the relevant managers.
  • Work with committees/steering group/working group chairs, members, and staff, ensure the coordination and distribution of meeting agendas, supporting papers, action lists and work plans in accordance with established performance indicators.
  • Prepare meeting minutes in accordance with performance indicators and monitor and progress actions arising from the meetings to progress work plans.
  • Assist with the planning and organisation of meetings, workshops, and specific social events, including travel arrangements, venues, catering and other requirements.
  • Coordinate and liaise with Fellows, trainees and community members (people who have lived experience) appointed to committees and other groups as a point of contact for queries from members, College staff, external organisations and individuals, escalating as appropriate.

 The successful applicant will demonstrate: 

  • Tertiary qualifications and/or a minimum of three (3) years administrative experience.
  • Excellent computer skills using MS Office programs including Excel and a sound understanding of databases.Demonstrated administrative skills in planning,  coordinating, budgeting and providing general administrative support.
  • Excellent written and verbal communication skills including the ability to write clearly and concisely with strong attention to detail. 
  • Demonstrated interpersonal skills with an ability to liaise effectively with a range of internal and external stakeholders.
  • Demonstrated problem solving skills with ability to show initiative and take responsibility for a broad portfolio of tasks.
  • Excellent time managements skills including the ability to plan, organise, set priorities and meet competing deadlines, with flexibility to alter priorities to meet changing demands.
  • Capacity to work as a member of a team combined with the ability to work independently on allocated tasks in accordance with objectives, timelines and priorities.
