About the Role

This is an Executive Assistant role with a difference, Kinetic IT are looking for someone to support C level business managers whilst having exposure to internal projects and a window in to commercial and financial business areas within the company. Working alongside the CFO and Group Executive you will be responsible for maintain and enforcing strong internal controls, processing transactions, enable and secure business systems and information as well as facilitate corporate performance planning and continuous improvements.

The role will include:

Key responsibilities for the role include:

  • Executive support including efficient and proactive coordination of schedules, emails, and corporate expense
  • Aide Executive effectiveness by scheduling meetings, co-ordinating the agenda setting process, collating papers/management packs/other reports and drafting minutes
  • Collate and prepare board papers, management packs and other reports on behalf of the CFO and GE of Corporate Performance including assisting in the uplift of papers, presentations and reports
  • Managing some internal projects
  • Plan, deliver and championing domestic, trans-Tasman and international travel requests for general crew, executives etc
  • Corporate credit card reconciliation of general business expenditure such as tools, software and subscriptions
  • Track key action items for the CFO, Group Executive and leadership team
  • Coordinate team meetings, workshops, conferences and other events
  • Supporting and being involved in Commerce and Business Information key cross-functional projects and initiatives
  • Liaising with the leadership across Commerce & Business Information and Corporate Performance
  • Sounds like your kind of role? You’ll just need some of the following:

  • Previous experience as a Personal or Executive Assistant operating with Senior Executives and/or at a Company Board level, preferably with financial and commercial exposure
  • Highly professional with demonstrated capability to act with discretion and confidentiality and an ability to handle sensitive matters
  • Strong written and visual presentational skills, with experience in drafting Executive and Board meeting minutes also desirable
  • Highly organised with an excellent attention to detail including project management, analytical, quantitative and critical thinking skills
  • Proficient in Microsoft Office suite; experience using Microsoft Teams or similar to facilitate online collaboration is desirable.
