Role Purpose

Aesop are seeking a motivated and highly organized Office Concierge to bring Aesop’s values to life based at our global head office in Collingwood, on a full-time basis. 

Reporting to the Office Manager, this role touches on all facets of what being an Aesopian is truly about. As a people-focused individual, you will be the face of Aesop when hosting our external and internal stakeholders to customer service and administrative support for the General Office team. Predominantly based at Reception but supporting the overall office you will be responsible for managing all office coordination activities such as couriers, mail, office replenishment and managing meeting room bookings.

As we prepare to move into our beautiful new purpose designed office space exuding Aesop’s warmth and residential feel, the General Office team will now have access to a private kitchenette with the pleasure of hosting all staff and visitors as they arrive, ensuring a welcoming and memorable experience.

You will uphold that office opening and closing procedures are undertaken each day and that the calm, organised and diligent office demeanour is maintained. The position will also be responsible for ordering all office stationery supplies, managing stock levels of the kitchen and bathroom amenities and ensuring meeting rooms are maintained to a professional standard and that all guests are catered for appropriately.

What we are looking for 

  • Some experience working in a similar role within a high touch customer service environment, ideally within a fast-paced organisation
  • Similar experience to managing a busy reception desk supporting colleagues, and being able to prioritise and co-ordinate administrative activities
  • Excellent interpersonal skills, highly approachable with a positive attitude
  • Ability to manage multiple priorities at once with effective stakeholder manager skills
  • Confidence and demonstrated ability in greeting and hosting internal and external stakeholders
  • Proficient in MS Office applications – MS Word, Excel, PowerPoint as well as room booking/sign-in systems
  • Strong, demonstrable, attention to detail
  • Strong time management and organisational skills with the ability to work autonomously
  • Proactive attitude and a keen interest in continuous improvement initiatives
  • Curious, creative mind and a love for learning
