How will I Help?

As an Executive Assistant within Consumer & Business Banking Technology you will provide efficient and effective coordination to two Heads of Technology. Activities include forward planning, event management, travel, administration, systems, and relationship management across internal and external business partners. This role acts as the central point of contact for team members across the wider business unit.

Key Responsibilities:

  • Email and diary management for two Heads of Technology, including coordination of all meetings/conferences and preparation of agendas, documents, and presentation material.
  • Collation of documents/packs to support daily meetings.
  • Assist with event planning and management across the team as required.
  • Coordination of leadership team key meetings, including the preparation of agendas and presentation material.
  • Prompt handling of internal and external stakeholder requests.
  • Composition of correspondence and updating and managing Knowledge Management tools such as team, intranet, and SharePoint sites.
  • General administrative duties, including processing travel and business expenses, reviewing staff reimbursements and allowances for the Leadership Team, reviewing, and coordinating payment of accounts, ensuring that these are within policy.
  • Act as the primary point of contact for all other administrative roles regarding core systems, processes and reporting enquiries.
  • Effectively handle, escalate, and follow up internal customer compliments, issues, and complaints.
  • Review prepared claims for office equipment such as vehicles, IT hardware etc. and investigate those outside.
  • of expense policy and discuss with delegated authority as required.
  • Maintain relevant databases, files, spreadsheets.

What do I need?

  • Experienced EA within a large corporate organisation.
  • Advanced PC literacy (MS Office: Word, PowerPoint, Excel).
  • A self-leader with the ability to make decisions.
  • Knowledge of Westpac systems, policies and processes ideal though not required.
  • Ability to work autonomously and as part of a team, liaising with all levels of the Business and our customers, building strong working relationships.
  • Excellent influencing skills.
  • Strong organisational, problem solving and communication skills.
  • Effective business writing skills.
