Seeking an administrator eager to secure a career in the APS as an EA!

Our client is a large federal government department located in the Canberra City who currently have an opportunity for an APS4 Executive Assistant to join the team on a 3-6-month non-ongoing contract, with an extension option.

This opportunity is working full-time hours (Monday to Friday, 38 hours) in the office, and up to two (2) days per week WFH.

The APS4 Executive Assistant will provide a range of high-level administrative support services, which includes, but is not limited to:

  • Diary and inbox management, including fielding telephone calls, coordination of meetings and events, drafting correspondence and tracking emails
  • Preparation for meetings, including agenda items, action items, talking points and secretariat support
  • Coordination and tracking of workflow in and out of the AS office, including management of tracking systems, reporting and more complex administration tasks
  • Working with division staff to ensure that all briefings and correspondence are managed appropriately, ensuring all deadlines are met
  • Liaising with a variety of senior internal and external stakeholders
  • Management of credit card acquittals and supporting procurement activities, including tracking and payment of invoices
  • Managing record keeping in accordance with departmental processes:
    • coordinating and tracking tasks, correspondence, and Parliamentary briefings
    • managing the Division leave calendar, org chart, phone list, etc

Applicants must be Australian Citizens, eligible to obtain and maintain a Baseline Clearance.

The successful candidate will be enthusiastic, as well as demonstrate:

  • Demonstrated administrative support experience in the APS
  • High level organisational skills, with the ability to work in a fast-paced environment while managing competing priorities
  • Excellent attention to detail
  • Effective communication skills, both verbal and written
  • Ability to identify current and emerging priorities
