About the role

We are searching for an Executive Assistant to provide best practice and high-level administrative assistance support to the General Manager – Technology, Data and Digital and the broader TDD team.

In this role, you’ll have the opportunity to

  • Diary and email management for the GM – Technology, Data and Digital and the broader team.
  • Coordination and set-up of internal and external meetings.
  • Assistance with the co-ordination of reports, presentations and papers for Committees and Board, as required.
  • Finance related administration tasks including but not limited to processing of invoices, reconciliation of expenses, and staff capex hours.
  • Assistance with the development and execution of business cases for approval.
  • Assistance with the execution of key projects and strategic direction across the team.
  • Co-ordinate the learning and development activities of the team.
  • Co-ordinate all onboarding and offboarding of the team.
  • Book all travel for team and prepare travel itineraries.
  • Networking and liaising with customers, stakeholders, and other peers internally.
  • Preparation of written communications including correspondence, meeting minutes, reports and presentations as required.

Your background should include

  • A minimum of 5+ years’ experience in an EA role providing high-level administrative support.
  • Advanced computer software skills for MS Word, Excel and PowerPoint.
  • Flexible and positive attitude that contributes to the team and business.
  • Highly organised and able to independently manage and coordinate team systems and processes.
  • Able to maintain high level of confidentiality and professionalism.
  • Able to respond calmly to unexpected changes to priorities and working additional hours, when, required.
  • Able to work under pressure and meet deadlines with limited supervision, setting own goals and objectives to support broader business objectives.
  • Able to represent management and present a professional image to internal and external partners.
