  • Based in the CBD – beautiful new office
  • Varied Administrative role where you are super organised and across everything!
  • $70K – $85K + Super nego depending on experience

We have an outstanding PA/administration role where you will provide support to the Director in a role that enables him to successfully manage his role without being bogged down by the day to day!
  
This Director is brilliant at what he does however he is extremely client focused and crazy busy so is out of the office for most of the day racing in and out for meetings! So you are the eyes and ears for the Director being across emails and ensuring things are actioned whilst he is in meetings. Your ability to build strong relationships with his clients and be the face and voice for him when he is unavailable is a critical part of this role.
  
This role is highly suited to a pro-active administrator who likes to be that one step ahead, doing whatever you can to ensure your manager has everything he needs, a role where you will be appreciated for your outstanding organisation skills and the ability to ensure everything flows.
  
  
Duties include but are not limited to:

  • Email and inbox management and action where you can – respond to emails or correspondence or forward to others within the business who can assist
  • Assist with Diary Management when required
  • Ensure your Director has everything he needs prior to meetings 
  • Be aware of what your Director has coming up in his day/over the coming weeks to help keep everything running smoothly
  • Organise meetings, training seminars and product presentations
  • Take minutes of internal meetings and follow up actions afterwards with direction
  • Act as a key point of contact for clients and build a strong rapport – answer incoming calls, meet and greet, set up meeting rooms, etc
  • Assist with preparation of marketing documents or submissions and tenders for projects 
  • Liaise with product suppliers and manage the product library within the business
  • Assist with invoicing and expense management
  • Assist with special projects from time to time
  • Help put processes in place to enable the office to run smoothly
  • Document management – digital and hard files
  • Kitchen and boardroom maintenance  

  
You will be perfect for this role if you have the following skills/attributes:
  

  • Proven administration experience working in a fast paced environment – preferably in a small to medium size business where you enjoy being the go-to for the office
  • Enjoy working in a corporate environment however this is a creative environment as well so funky corporate is perfect!
  • Good sense of humour and bring some energy to the role
  • Adaptable and able to think outside the box
  • Outstanding communication skills and ability to build rapport at all levels within a business
  • Exceptional written skills (grammar and spelling) and proof reading ability
  • Strong organisational and coordination skills
  • Advanced skills in Word, Excel & PowerPoint
  • Experience in Adobe packages such as Photoshop, InDesign a bonus but not essential
  • Strong attention to detail and across everything with your finger on the pulse!
  • Happy to perform some personal tasks for your Director from time to time plus must be happy to take on more menial tasks such as kitchen tidy or make a tea/coffee for clients  
  • Must be happy working in the CBD 5 days a week (this is a role where you need to be across everything so is not a WFH role)
