Job Description

Reporting to our CEO, we’re looking for a flexible, highly adaptable, motivated, and execution-oriented Executive Assistant who is a top-tier communicator and loves helping people with small to large tasks and small projects.

You probably love sticky notes, are naturally hyper-organized, and get satisfaction by creating and checking off those daily to-do lists to make everyday operations painless and straightforward. This means being an excellent problem-solver (who can think outside the box). You’ll be expected to process and resolve issues quickly and with little direction at times.

We’re looking for someone who truly believes in the value of this role as their calling. Over time, you’ll become an extension by being able to anticipate his needs, see around the corner, and remember things before he does.

This role is ever-changing in its nature; as such, being highly adaptable and flexible is a must. This person should have the ability to ramp quickly when it comes to new information and learning new things.

Duties and Responsibilities

  • Provides high-level support to the CEO primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently
  • Maintain and refine internal processes that support high-ranking executives companywide, and coordinate internal and external resources to expedite workflows
  • Manage communication with employees by liaising with internal and external executives on various projects and tasks
  • Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company logistics
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
  • Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals
  • Handling tasks on the CEO’s behalf
  • take meeting notes and follow-ups through to completion
  • Using our software to track and manage time, tasks, and projects
  • Be able to take tasks off the co-founder’s plate and take them on, and be proactive in doing so.
  • Run small projects
  • Understand dashboards and metrics
  • Talk to other key stakeholders/department heads in the mission of completing tasks/projects
  • Manage professional and personal scheduling including agendas, email, calls, travel arrangements, client management, and other company logistics.
  • Prepare reports and presentations for internal communications
  • Knowledge of email correspondence and must be able to draft replies on behalf of the CEO.
  • Performs additional duties as assigned by the CEO.
  • You should be taking workload from the CEO by delivering completed tasks, reports for approval, pre-drafted emails ready for sending.
  • Prepping other meeting attendees making sure they are ready and can attend.
  • Making sure no followups are lost, and following through to completion.

About you

  • Minimum two years of work experience as an Executive Assistant, Personal Assistant
  • Must be residing in Brisbane, Australia preferable northside close to Chermside
  • Must be willing to report to work to the CEO’s home office
  • Must be able to work full-time for 40+ hours per week
  • Must have advanced skills in Google Suite (Gmail, Calendar, Drive, Docs, Sheets, Forms, Slides) and productivity and project management tools/apps (ClickUp or Asana)
  • With the aptitude to learn new software and systems.
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge.
  • Must be able to meet deadlines in a fast-paced, quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Able to manage time effectively and efficiently
  • Able to organize and manage large amounts of files, tasks, schedules, and information
  • Self-directed and able to work without supervision
  • Excellent verbal and written communication skills
  • Strong customer service and presentation skills
  • Able to work nights, weekends, extended hours, and holidays as needed
  • Experience with online meeting software (like Zoom or WebEx), online chat/instant messaging, and group sharing platforms like Slack
  • Proficient with online calendars and scheduling (like Calendly or Google Calendar)
  • Excellent writing, verbal communication, and time management skills
