About the role:

The Executive Assistant manages the smooth operation of the Executive Unit including the Executive’s schedule, maintaining office systems and demonstrating high quality customer service. The position provides a coordination function to the Branch, regularly communicating with the Executive Group Manager’s area, to coordinate corporate reporting and ministerial responses ensuring a high level of service and support is provided.


Duties of the role:

  • Be a contact for enquiries, providing a range of high level administrative support including diary management, arranging and scheduling appointments and meetings, managing telephone calls, travel and accommodation arrangements.
  • Undertake high level coordination and support to the Executive Branch Manager including determining actions and priorities arising from emails and other directions.  Also provide Secretariat support for meeting and general office management activities.
  • Monitor the workflow, approval process and quality assurance of documents within the established timelines. This will also include appropriate electronic filing and use of the HPE Content Manager (TRIM) to progress for external clearances.
  • Contribute as a member of the wider Executive Support Team and as required, provide co-ordination and administrative assistance to support the functions of the Senior Management team and the Group.
  • Manage confidential and sensitive information in accordance with the relevant legislative and policy principles.
  • Undertake other duties appropriate to this level of classification which contribute to the operation of the section and organisation.


Skills and experience required:

  • Experience in or ability to provide high level administrative and secretarial services to executives and management teams. This includes a high level of diplomacy and confidentiality.
  • Demonstrated high level skills in Microsoft Office software and electronic records management system (EDRMS/TRIM).
  • Sound interpersonal, oral and written communication skills..
  • Strong organisational skills with a demonstrated ability to be a self-starter, be proactive, flexible and manage competing priorities while often working independently.
  • Relevant experience and/or qualifications in executive support/office management.
  • A Driver’s Licence is highly desirable.
