Title: Personal Assistant – Marine

Work location: Perth, WA

Roster: 5:2 Roster

Supporting the Head of Marine Projects and Global Head of Shipping, working closely with the broader leadership team, you will be reliable for providing integral support and assistance.

The position best suits someone who thrives on going above and beyond, has a personable approach and enjoys working in a fast-paced environment.

To be successful in this role, you must be a diplomatic and resilient seasoned Personal Assistant with a mature and flexible outlook. Your excellent written and verbal communication will see your success in liaising with multiple high level internal and external stakeholders.

Key accountabilities will include:

  • Coordinate and provide support to the Head of Marine Projects & Global Shipping where required.
  • Building strong relationships and liaising with officials, internal and external senior level stakeholders.
  • Using your strong organisational skills and attention to detail to manage complex calendar, diary, and email management.
  • Preparing and revising documents including letters, reports, meeting minutes and presentations.
  • Planning, organising and coordinating events, meetings and schedules
  • Planning travel approvals and schedules for meetings abroad for the team members
  • Gain knowledge of all FFI internal systems to assist the project teams as required

Qualifications and skills required:

  • At least 10 years of experience in a similar level support position within a fast-paced dynamic environment
  • Experience supporting Operations/Projects/Finance/Commercial team highly desirable
  • Previous communications/media experience
  • Strong interpersonal skills with a personable yet professional approach
  • Demonstrated experience dealing with highly confidential matters
  • Ability to work outside of core office hours as required
  • Flexible to occasionally travel within Australia if required
