Wilmar Trading Australia is a large scale, integrated commodity merchandising and supply chain management company. We are leading, expert commodity merchandisers with decades of experience. We offer contract options and formulate effective risk management strategies, logistics and documentation solutions.

We have offices in Australia and New Zealand where our highly skilled teams manage our import and export business and offer support for our distribution and aggregation business. Annually we handle and trade over 2.7 million tons of commodity.

We are currently looking for a qualified Documentation Specialist on a full-time position.

Responsibilities and Duties:
PRIMARY RESPONSIBILITIES (Job Summary)
1. Create international trade documentation for containerized and bulk cargo under different payment terms, including Letters of credit.
2. Liaise with relevant shipping lines, ship owners and agents for forwarding instructions and draft/original bills
3. Lodgement for creation of Health and phytosanitary certificates
4. Liaise with surveyors for samples and check and approve Analysis Certificates
5. Process claims.
6. Manage and control document releases.
7. Update all related data in BSM and spreadsheets in real time.

GENERALISED RESPONSIBILITIES
• Ensure follow up, monitoring and reporting on all pending activities to the customer/supplier is precise and accurate.
• Facilitate communication and co-ordination with other team members (managers/traders and operations) to ensure the successful execution of services.
• Develop an understanding of the commodity that is being documented.
• Actively chase payments/ overdue accounts when required.
• Handle “professionally” all disputes and conflicts to satisfactory outcomes, both internally and externally.
• Adopt a safe behaviour policy for the health and safety of Wilmar Trading employees and clients and yourself.
• Comply with Wilmar Trading code(s) of conduct.

Qualification and Skills:
• Relevant qualification in related disciplines
• Minimum 3 years of experience

SKILLS SET DESIRABLE:
• Letters of credit knowledge and experience
• Agricultural sector knowledge and Daff accreditation
• Knowledge of BSM and Grainsmart

SKILL SET REQUIRED:
• Excellent interpersonal and communication skills with the ability to establish and maintain effective internal and external relationships with multi-skilled stakeholders.
• Time management and a strong attention to detail
• Must be proficient in windows and Ms Office suite
• Must be able to follow work instructions in a safe, accurate and timely manner
• Demonstrates good verbal and written communication
• Motivation to learn
• Ability to accommodate changes efficiently
• Planning skills
• Ability to prioritize workload and work with tight timeframes

Job Type: Full Time
Salary Offered: $AUD 65,000 to 75,000 +super based on experience
