This Executive Assistant position is located in the Office of the Deputy Vice-Chancellor (Education), which oversees a portfolio of strategic educational programs and divisions including Education Services; Quality and Standards; the University Library and Executive Education.
Duties will include but are not limited to:
Provide executive assistance and support including but not limited to; monitoring of incoming calls/emails/mail and provision of appropriate responses; diary management; travel arrangements; collating data/reports submitted; development of office procedures and systems; financial management; and liaison with internal and external clients. Provide secretariat support as required for cross-university committee meetings or internal/external working groups. Support human resources administration including lodging advertisements for vacant positions, updating organisational charts, and arranging new staff induction. Purchase and maintenance of office equipment, ordering office supplies, and maintenance of office filing systems. Skills and Experience
To be considered for this position, you will have;
Degree with subsequent relevant experience to consolidate the theories and principles learned, or extensive experience, leading to either the development of specialist expertise or to the development of broad knowledge in an administrative field, or an equivalent alternate combination of relevant knowledge, training and/or experience. Demonstrated experience in the preparing of agendas, minutes and supporting papers and briefing notes. Excellent interpersonal, verbal and written communication skills with the ability to build rapport and liaise with people at all levels. Demonstrated commitment to continuous improvement in administrative processes. Demonstrated ability to set priorities and monitor workflows within own area of responsibility. High level proficiency in computer software packages including word processing, spreadsheets, databases, electronic mail, and the use of the internet as a research tool.
