The Australian Criminal Intelligence Commission (ACIC) is Australia’s national criminal intelligence agency. We advise senior decision makers on serious and organised crime impacting Australia. About the role
The Executive Assistant to Deputy CEO Intelligence and Deputy CEO Support is responsible for providing confidential and high-level executive assistance through the delivery of high quality administrative, organisational and support services including diary management, meeting coordination, document preparation and records management. The Executive Assistant is the primary point of contact for the two Deputies’ offices and must represent and promote their values at all times. 

Due to the high-profile nature of the role, excellent communication and interpersonal skills are essential, as well as the ability to coordinate and support colleagues working across tasks to manage competing priorities. The high volume of internal and external liaison with stakeholders requires a high level of professionalism, confidentiality and discretion. 

The duties of the position require an ability to be highly organised, prioritise work tasks effectively and anticipate the needs of the Deputies. The environment is dynamic and fast paced, and changing demands must be responded to quickly so as to meet tight timeframes. 

An interest in the work of the ACIC is highly desirable, as is previous experience in supporting senior executive in a fast paced, high volume and pressured professional work environment.

You will work closely with the Chief of Staff and Executive Assistant to the CEO to support the effective and efficient functioning of the Office of the CEO. 

Our ideal candidate

  • Provides executive support to the Deputy CEOs by:
    • Maintaining the diary and appointment arrangements, including workflow and cadence of meetings and engagements.
    • Organising/coordinating a range of meetings and activities
    • Liaising with internal and external Executives and their offices 
    • Filtering, recording, monitoring and prioritising incoming/outgoing email and correspondence
    • Assisting with the preparation of reports, correspondence and submissions
    • Organising Deputy CEO travel.
  • Acts as the primary point of contact for the Deputy CEOs’ offices for all enquiries and approaches from Commonwealth, state and territory partners, industry, academia, the media and the public.
  • Enjoys helping people and can quickly develop effective relationships with members of the ACIC executive and their support staff.
  • Communicates effectively, developing and maintaining productive working relationships both internally and externally.
  • Takes initiative to improve current processes and practices to ensure efficient functioning of the Deputies’ offices.
  • Maintains a professional approach and high level of confidentiality.
  • Can prioritise tasks, is flexible and maintains a calm approach while working under pressure. 


Eligibility

  • If this role is being advertised as ongoing and non-ongoing, it may be offered as ongoing or non-ongoing subject to operational requirements and/or candidate preference. Where a non-ongoing position is offered, the role will be filled for a specified term of up to 18 months. A specified term may be extended up to a maximum period of 3 years.
  • Under section 22(8) of the Public Service Act 1999, employees must be Australian citizens to be employed in the APS, unless the agency head has agreed otherwise, in writing. For further information, contact the Recruitment Team.
  • The Australian community expects ACIC employees to maintain the highest levels of security and integrity. Successful applicants will be required to obtain and maintain, or continue to hold, the required security clearance for this role. All ACIC employees are required to hold a minimum Negative Vetting 1 security clearance, unless otherwise specified.
  • All candidates must satisfy an Organisational Suitability Assessment (OSA) prior to being offered employment at the ACIC.
