Executive Assistant – Investor Relations

Summary

We’re looking for an experienced and polished administrative assistant who is passionate about delivering efficient and effective support to a fast-paced, global team, and interested in broadening their skills and experience across a range of Investor Relations activities.

This position will make a major contribution to the smooth operation and delivery of the company’s busy Investor Relations program. The successful candidate will be expected to interact regularly with senior executives across Aristocrat, investors, analysts at investment banks, service providers and colleagues in the Investor Relations team to schedule, organise and host important events and meetings at the direction of the General Manager of Investor Relations.

Key events typically include twice-yearly financial results announcements, the Annual General Meeting of shareholders, various other investor meetings, conference calls, site visits, tradeshows and conferences. The administrative assistant will also support processes that are crucial for the smooth functioning of Investor Relations such as internal report writing, budget setting, expense management and managing the team’s CRM.

What You’ll Do

  • Diary management and administrative support for the General Manager Investor Relations;
  • Co-ordinating investor and analyst meetings, roadshows and communications;
  • Co-ordinating and managing annual events on the Investor Relations calendar;
  • Monitoring incoming calls and emails to the team inbox, handling routine enquiries and redirecting when appropriate;
  • Managing the Investor Relations CRM (Nasdaq) to ensure an accurate record is maintained of the interactions with investors and analysts;
  • Liaising effectively with EAs of other Aristocrat leaders, to ensure delivery of the Investor Relations program;
  • Processing expense claims and invoices, including the set-up of new vendors for the Investor Relations team (current systems include Concur, Serengeti, and e-Counsel);
  • Assisting in the preparation of AGM papers, Board papers and PowerPoint presentations where directed;
  • Arranging and managing business travel on behalf of the team;
  • Establishing and maintaining internal and external networks in support of duties; and
  • Other duties and ad hoc projects as required from time to time for the Investor Relations team.
  • What We’re Looking For

  • Minimum of 5+ years’ experience as an EA to a C-Level executive or an aligned role in a fast-paced environment.
  • Strong PC skills (Word, Excel, PowerPoint, Outlook);
  • Excellent written and oral communication, with the ability to effectively communicate and collaborate with a diverse range of people and job functions;
  • Experience working cross-functionally in a global organisation, across different time zones and cultures;
  • Ability to anticipate or recognise problems and refer them to the right person for resolution;
  • Mature operator, with high personal integrity and ability to maintain strict confidentiality;
  • Effective organisational skills, with a demonstrated attention to detail and the ability to handle multiple priorities;
  • Flexibility to work additional hours (irregularly, but as required); and
  • Taking initiative on assigned projects to ensure timely execution.
