Management JOB SUMMARY The Event Manager is responsible for the management and planning of meetings, incentives, conventions and exhibitions from initial handover from the Sales team until departure, including the final settlement of account. The Event Manager is responsible for leading the Event Planning team to ensure the highest level of event detail is implemented and distributed to the hotel operations team to execute. Reporting to the Director of Sales & Distribution, this role will focus on event planning and management to ensure W Brisbane is the hotel events market leader in Brisbane. This role directly drives revenue and increases market share across the segments of rooms, B&F, events, group, FIT, spa and other revenue generating sources in line with W Hotels and Marriott International’s brand standards The ideal candidate is results-oriented. A collaborative leader with a strategic and analytical focus. Job responsibilities include, but are not limited to: Manage the Event Planning Team to ensure event details are distributed to the hotel operations team in a timely manner Manage the planning of events including full event details, menu selection, creation of the internal banquet event order and billing charges Review all daily beverage & food and conference charges posted to relevant accounts during each event, to ensure that all charges are in line with event orders. Ensure correct figures are reflected in CITY actuals Possess thorough knowledge of W Brisbane, the property, spaces, capacity, concept/food style (menus) Work with Executive Chef and Director of B&F to create and maintain banquet menus Monitor group billing accounts for accuracy and co-ordinate with the Credit Manager for delayed payments Ensure accurate forecasting to assist with hotel manpower planning Work closely with Catering & Events Operation Manager and AV Company to ensure all aspects of the event are executed as per the Banquet Event Orders Actively focus on upselling to maximise revenue streams for the hotel Conduct weekly BEO Meetings and Group Movement Meetings for key internal stakeholders Conduct Pre and Post Conference Meetings with event clients as required Ensure smooth flow of information (communication) from Sales to Banquet Services and the Beverage & Food Department Participates in customer site inspections and assists with the sales process as necessary Have strong proficiency with CITY and Opera PMS. Maintain up to date menu selections and inventory in CITY Champion CITY systems ensuring Data Quality Audits are minimised in line with hotel goals Champion Event Satisfaction Surveys (ESS) ensuring ESS scores are maximised in line with hotel goals Prepare Sales Quotes and Contracts as necessary Be fully versed across all relevant Marriott International loyalty programs to maximise business opportunities for W Brisbane Conduct and keep abreast of external and industry market news to ensure W Brisbane remains at the forefront of the Brisbane hotel market Be an early adopter and champion for innovation, as the W brand has been since inception, to deliver and exceed budgeted revenues for the hotel, channel engagement and enhanced guest experience Maintain the strictest confidence on all matters relating to W Brisbane, Marriott International and its entities, ensuring that business dealings within the organisation are not discussed with outside parties Develop an awareness of, and appreciation for, the richness of the cultural diversity of our clients, associates and location Be well versed and knowledgeable of Hotel’s Fire and Evacuation procedures as well as health and safety requirements in Workplace.
